What is pension auto-enrolment?
Auto-enrolment is the employer duty to automatically enrol eligible workers into a workplace pension scheme and to contribute to it alongside the employee. It applies regardless of whether an employee asks to join, though eligible workers can choose to opt out after being enrolled.
In practice, in the UK
The duty falls on the employer to assess every worker, not just full-time or long-serving staff, against the eligibility criteria each time they are paid, since someone’s eligibility can change if their age or earnings cross a relevant boundary between pay periods. An employer cannot simply offer the pension and wait for staff to join: the default has to be enrolment, with the employee then free to opt out if they choose, and an employer that reverses this — treating the scheme as opt-in rather than opt-out — is not meeting the duty as it is actually structured. The duty also does not end at the point of enrolment: employers have ongoing obligations to keep contributing, to re-enrol staff who previously opted out after a qualifying period has passed, and to keep records demonstrating that the assessment has genuinely been carried out for everyone, not only for those who asked about it.
In Odoo
Odoo’s payroll or HR functionality can track pension scheme membership and contribution rates, but the assessment of eligibility against the auto-enrolment criteria, and re-enrolment after an opt-out period, needs an active process rather than a one-off configuration made when the scheme was first set up. A business that changes its workforce significantly — new joiners, a shift in pay levels, casual or seasonal staff — needs that process to keep running, since the eligibility line for any individual worker can move even when nothing about the scheme itself has changed.
Common mistakes
- Treating pension enrolment as something staff opt into, rather than an employer duty to enrol by default.
- Failing to reassess eligibility as a worker’s age or pay changes over time.
- Missing the obligation to re-enrol staff who previously opted out, once the qualifying period has passed.
