What is a P11D?
A P11D is the form a UK employer uses to report benefits in kind and certain expenses provided to an employee that were not put through payroll. It tells HMRC about non-cash value an employee received, such as private medical insurance or a company car, so the associated tax can be collected.
In practice, in the UK
Not every benefit needs a P11D: many employers now payroll benefits in kind instead, taxing them through PAYE in real time rather than reporting them separately after the year end, and where that election is in place a P11D is not required for the benefits covered. Where benefits are not payrolled, the P11D captures their value so that HMRC can adjust the employee’s tax position, typically through their tax code, to collect tax on value the employee received but was never paid in cash. Employers also owe a separate liability of their own on many of these benefits, calculated from the same figures, so a P11D is not purely an employee-facing document even though its content concerns the employee’s benefits.
In Odoo
Odoo’s payroll or HR modules can track benefits in kind provided to employees, but producing the P11D itself, and the employer’s own related calculation, usually sits with specialist payroll software or an external payroll provider rather than inside the general ledger. What Odoo needs to hold accurately is the underlying record of which benefits were provided to which employee and their value, since that record is what any P11D process is built from.
Common mistakes
- Assuming a benefit already taxed through payrolling still needs reporting again on a P11D.
- Losing track of which benefits were provided to which employee over the year, so the P11D has to be reconstructed after the fact.
- Overlooking the employer’s own liability on benefits reported, treating the P11D as only an employee-side document.
